Evaluator Timeline & Guide

Thank you for volunteering to be a part of this year’s Annual Agency Grant Evaluation Process! Below is a guide outlining next steps, the Evaluation timeline, and the deadline to submit evaluation reports to our office via email on Friday, March 27.

FEB 9 & 10
Agency Showcase + Meet/Greet

On February 9th and 10th, we held agency showcases and meet/greets ahead of the agency meetings (see below) to give everyone a chance to get acquainted with our grantees’ work and what their service populations are facing in the year ahead.

If you were not able to join us in-person, we videotaped portions of the panel discussion and will share video clips of the short talks with you.

Zoom Orientation (30-min)
Please join for 1 of the dates below.

Attend one (1) of the following 30-minute Zoom orientations designed to familiarize you with the grant application and the evaluation report template.

– Tuesday, Feb 24, 6pm

– Friday, Feb 27, 12pm

Schedule Your Agency Visit or Zoom

Using the contact information available in the application we sent to you via email, please contact the agency you are evaluating to set up an agency visit or Zoom.

During this meeting, you will discuss the application, capture the agency’s responses to the questions in the Evaluation Report template, and possibly witness a program in-progress.

Review the Application & Prepare for Agency Meeting (1 hour)

Take a moment to read the grant application and familiarize yourself with the supporting documents ahead of your agency visit or Zoom meeting.

FEB & MAR
Agency Visits (1 hour)

During these in-person visits or Zoom meetings, Evaluators will use the Evaluation Report template as a guide as they review the application with agency representatives, and discuss grant funded programs and services.

It is helpful to understand what happened over the past grant year, what were the outcomes, and what changes, if any, will apply to the upcoming request and grant year. 

During this discussion, it is also helpful to ascertain whether the agency itself is undergoing any transformation, growth, or challenges.

Prepare & Submit Your Evaluation Report

During the agency visit or Zoom, Evaluation teams will capture agency responses to their questions and ultimately collate these in the Evaluation Report. Teams will also share their recommendations with our Evaluations Co-Chairs in the report. 

EVALUATION REPORTS ARE DUE FRIDAY, MARCH 27

Evaluators will please submit completed evaluation reports via email to Shannon McDonough, Executive Director, by Friday, March 27: shannon@thecommunityfund.org 

APR
Grant Allocation Begins
  • The Community Fund’s Evaluation Co-Chairs will review all grant applications and evaluation reports. The Board’s Executive Committee will also review these documents. 
  • Our Co-Chairs will make allocation recommendations to the Board.
  • Our Board will vote on all allocations.
MAY
Allocations Announced

In May, we will communicate grant allocation decisions to our annual grantee agencies, and will also make public announcements after those notifications have been made.
