Accounting and Office Administrator (Part-time)

Ideal candidates will be able to demonstrate proficiency in accounting, and possess donor management experience in a nonprofit, healthcare, or academic setting. Prior experience interfacing with a “working” board of directors, donors, and the public is essential as such interactions comprise  a large part of the work. The accounting and office administrator reports to the executive director.

PRIMARY RESPONSIBILITIES

General accounting

  • Monthly reconciliation of accounts
  • Update cash flow accordingly
  • Bill payment
  • Prepare and organize data for annual financial review/audit

Financial management of our annual campaign

  • Process and log all donations in Blackbaud eTapestry donor database
  • Enter all income into QuickBooks
  • Prepare all acknowledgement letters
  • Maintain board solicitation lists
  • Communicate campaign donation status to executive director and board members

Major fundraising events and activities

  • Assist in the execution of annual campaign (print) mailings
  • Maintain project budgets
  • Process all payments
  • Assist in the coordination of:
    • Attendee info with host venue
    • Volunteers, board members
    • Vendors and sponsors

Office administration

  • Answer phone, process mail, and assist in general maintenance including ordering supplies
  • Assist executive director and board president in compiling and distributing materials to board members ahead of meetings (as needed)

REQUIREMENTS

  • Complete, functional  familiarity with all major office software, the internet, online banking
  • Demonstrable proficiency in QuickBooks, both desktop and online versions
  • This role may require the ability to lift a box weighing up to 50 lbs.
  • Negotiating three short flights of stairs is necessary to access the office space

DESIRED

  • 5+ years of prior professional experience in an office setting
  • Demonstrable proficiency in managing donor data (via any platform)
  • Experience coordinating a migration to QuickBooks Online

EMPLOYMENT TYPE
Part-time (average 15 hours/week). Flexible hours, occasional evenings. This is a hybrid role, with certain duties requiring in-office time in Bronxville, NY.

COMPENSATION
$32 per hour

ABOUT THE COMMUNITY FUND OF BRONXVILLE, EASTCHESTER, and TUCKAHOE
The Community Fund of Bronxville Eastchester Tuckahoe, Inc. was founded on October 2, 1919, to serve the public in response to the 1918 pandemic, the Great Depression and World War II, providing basic support to families and the war effort.

More than 100 years later, The Fund generates donations that support more than 20 local agencies and nonprofits that provide critical legal, health, wellness, educational services to area residents across the lifespan. The Youth Community Fund trains local high school students in philanthropic processes and offers several volunteer service opportunities throughout the academic year.

The Community Fund is led by a board of directors and a small professional staff.

Location and transportation:
We are located at 17 Sagamore Rd. in Bronxville, NY. The office is adjacent to the Bronxville Metro North Station and is also easily accessible via #30 and #52 Bee-Line buses. Street parking is available.
